Teacher Job Application Email: Format and 4 Samples (School, Coaching, Online)

A teacher job application email tells the principal four things in the first paragraph: the post (PRT, TGT, PGT or faculty), the subject, classes and board taught. Then results and qualifications, then logistics and a demo-class offer. Below are four complete samples (a CBSE school teacher, a coaching-institute faculty, an online tutor and a fresher with a B.Ed), the format, subject lines, what principals look for, which documents to attach, when schools hire, and the mistakes that get teaching applications filed away.

The 4 samples

Each sample names the post, subject, classes and board in the first paragraph, because that is how a principal sorts applications. Schools, institutes and figures are made up.

Sample 1: School teacher (CBSE or ICSE)

Subject: TGT Mathematics (CBSE) — Siddharth Bose | 5 yrs, CTET

Dear Mrs. Rao,

I'm applying for the TGT Mathematics post at Greenfield Public School, Pune, advertised on your website for the 2027–28 session. I've taught mathematics to classes 6 to 10 at a CBSE school in Nagpur for the last five years.

I hold a B.Sc in Mathematics and a B.Ed, and I qualified CTET Paper II in 2021. In the 2026 board exams my class 10 section averaged 84% in mathematics, with three students above 95, and I've run the school's Mathematics Olympiad club for three years, which sent two students to the RMO stage last year. I'm comfortable with smart-class tools and Google Classroom, I set and moderate the internal question papers for classes 9 and 10, and parents know me for honest, specific feedback at PTMs.

I can join from 1 April 2027 after serving my notice, and I'm relocating to Pune with my family. My résumé is attached as a PDF, and my degree, B.Ed and CTET certificates are ready for verification. I'd be glad to take a demo class on any topic from the class 9 or 10 syllabus.

Sincerely,
Siddharth Bose

What to change: the principal's name (from the website or the advertisement; "Dear Principal" if none), the post, subject, classes and board, your years and the type of school, your degrees and CTET or state TET, two results (a board average, a club, a competition, a remedial group), the tools and duties, your joining date and the demo-class line. Keep the results to two; a principal reads twenty of these a day in season.

Hinglish mein: Teacher ki application mein pehli line mein hi post (PRT/TGT/PGT), subject, classes aur board likhein — principal isi se sort karte hain. Phir ek paragraph qualifications aur result ka (board average, club, kisi competition ka result), aur aakhri mein joining date aur demo class ka offer. Pehli mail mein sirf resume PDF; certificates interview par le jaayein. Poora email format Hinglish mein: job ke liye email kaise likhe.

Sample 2: Coaching institute faculty

Subject: Physics Faculty (JEE/NEET) — Mohit Rathi | 4 yrs, M.Sc

Hello Mr. Jain,

I'm applying for the Physics faculty position for JEE and NEET batches at Aarambh Classes, Bhopal. I've taught physics for JEE Main and Advanced and NEET at a coaching institute in Indore for the last four years, to batches of 60 to 80 students in classes 11, 12 and dropper.

Of my 2026 dropper batch of 74, 31 cleared the JEE Main cut-off for Advanced and 9 qualified in NEET with a physics score above 150. I write the daily practice sheets and the fortnightly test series for my batches, teach mechanics and electrodynamics as my strongest units, and I take doubt sessions in Hindi and English. My M.Sc in Physics is from a university in Indore, and I cleared the JEE Advanced myself in 2017.

I can join within 30 days and I'm ready to relocate to Bhopal. My résumé is attached as a PDF. I'd be happy to take a demo lecture on rotational motion or any topic you choose, in front of a live batch.

Thanks,
Mohit Rathi

What to change: the exams and batch types, your years and batch sizes, the one result line (selections, cut-off clearances, average score improvement), the material you create, your strongest units, your languages of teaching, your own qualification, and the demo-lecture offer. Institutes hire on the demo and the result; the email's job is to earn the demo.

Sample 3: Online tutor

Subject: Online English Teacher — Divya Menon | 3 yrs, 1,200+ hours

Hello Ms. Gupta,

I'm applying for the online English teacher role at LearnBridge for classes 6 to 10. I've taught English and spoken communication online for the last three years, more than 1,200 hours of one-to-one and small-group sessions on Zoom and Google Meet, to students from classes 6 to 10 and to working adults.

Around 80% of my students renew after their first month, which I put down to planning each session with a clear outcome and sending parents a two-line note after every class. I hold an M.A. in English and a B.Ed, I'm comfortable with a digital whiteboard, screen annotation and breakout rooms, and I keep my own bank of grammar and reading worksheets. I teach from a quiet room on a 100 Mbps connection with a backup hotspot and power backup.

I'm available for 25 to 30 hours a week, including evenings and weekends, which I understand is when your sessions run. My résumé is attached as a PDF. I'd be glad to take a 20-minute demo session on any lesson you pick.

Thank you,
Divya Menon

What to change: the platform or institute and the classes, your hours taught (count them from your records), the renewal or rating line (only if you have it), the tools, your qualifications, your setup, and the hours you can commit, including evenings and weekends if true. Online employers reject on hours and setup more than on degrees.

Sample 4: Fresher with a B.Ed

Subject: PRT English — Ishita Jain, B.Ed 2026, CTET qualified

Dear Principal,

I'm applying for the PRT English post at Harmony Global School, Jaipur, for the session beginning April 2027. I completed my B.A. in English in 2024 and my B.Ed in June 2026, and I qualified CTET Paper I and Paper II in the January 2026 cycle.

My teaching practice was four months at a CBSE school in Jaipur, where I taught English to classes 3 to 5 and took two sections of class 6 for six weeks. I prepared lesson plans with the school's format, ran a twice-weekly reading corner for class 4 that got 18 reluctant readers through their first chapter books, and handled a parent-teacher meeting on my own by the end of the term. I'm comfortable with phonics-based teaching for the primary classes and with Google Classroom.

I'm in Jaipur and can join at the start of the session, or earlier for orientation. My résumé is attached as a PDF, with my CTET score card and B.Ed certificate ready for verification. I'd be glad to take a demo class for any primary section.

Sincerely,
Ishita Jain

What to change: the post and session, your degrees and years, your CTET or state TET papers and cycle, the teaching practice (school type, classes, weeks), one thing you ran during it with a small number, your comfort with the school's teaching approach, and your availability. A fresher's teaching practice is experience; write about it like one.

The format: what goes where

Part What it does Length
Subject Post and subject, your name, one hook (years, CTET, board) under 60 characters
Salutation The principal or director by name; "Dear Principal" if the advertisement gives none one line
Paragraph 1 The post, subject, classes, board and session you are applying for, and where you saw it two sentences
Paragraph 2 Qualifications (degree, B.Ed, CTET or TET), two results, the tools and duties you handle four to five sentences
Paragraph 3 Joining date, the attached résumé, documents ready, a demo-class offer three sentences
Sign-off Name and phone two lines

Schools are more formal than startups, and "Respected Principal" is still common and understood; "Dear Mrs. Rao" or "Dear Principal" is warmer and just as correct. What does not belong is "Respected Sir/Madam, I beg to state": it signals a form letter, and principals receive hundreds of those in March. For the general version of this structure, see job application email format.

Subject lines for teaching posts

All under 60 characters: post and subject, your name, one hook.

  • TGT Mathematics (CBSE) — Siddharth Bose | 5 yrs, CTET
  • PRT English — Ishita Jain, B.Ed 2026, CTET qualified
  • Physics Faculty (JEE/NEET) — Mohit Rathi | 4 yrs, M.Sc
  • Online English Teacher — Divya Menon | 3 yrs, 1,200+ hours
  • PGT Chemistry (ICSE) — Anjali Nair | 8 yrs, ISC results
  • Re: Vacancy for Primary Teachers — Harsh Chauhan, B.Ed

The rules behind them, and 50 more, are in 50 job application email subject lines.

What principals look for

Principals and coaching directors hire on the demo class, but the email decides who gets one. They are reading for:

  • A board match. A teacher who has taught CBSE classes 9 and 10 knows the syllabus, the internal assessment scheme and the paper pattern. Name the board and the classes in the first line.
  • Results they can picture. A board average, the number of students above 90, a competition stage reached, a remedial group that passed. One or two, with figures.
  • Classroom management, shown not claimed: a club you ran, a section you handled alone, a parent meeting you led.
  • Paper setting and correction. Schools need teachers who can set and moderate internal papers. Say if you do.
  • Comfort with the tools the school uses: smart boards, Google Classroom or the school's ERP, online classes when needed.
  • Co-curricular willingness. A teacher who will take the Olympiad club, the debate team or the morning assembly rota is worth more to a principal than one who will not.
  • Language fluency for the medium of instruction. For English-medium schools, the email itself is the proof.
  • Documents in order. B.Ed, CTET or state TET, degree certificates, experience letters, and for some schools a police verification. "Ready for verification" in the email saves them a question.
  • Stability. A joining date that matches the session start and a reason for the move (relocation, a step up) reassure a principal who is tired of mid-session exits.

Documents to attach and file names

Attach your résumé as one PDF, one or two pages, named Siddharth-Bose-Resume-TGT-Mathematics.pdf. Add a passport-size photo at the top right only if the advertisement asks for it; many schools do, most companies do not.

Bring everything else to the interview and say so in the email: degree and B.Ed certificates, CTET or state TET score card, experience letters, marksheets, ID proof, and a lesson plan for your demo. Do not scan and attach them to the first email; a 9 MB email with eight attachments gets filed away unopened, and a principal's inbox in March is full.

For online roles, add one line about your setup and, if asked, a short recorded teaching clip, uploaded as a link rather than an attachment.

A quick check before you send: run the résumé through the free ATS résumé checker, because larger school chains and ed-tech companies screen on keywords like the board, the post and CTET before a human reads it.

Timing: when schools and institutes hire

  • Schools: most hiring for the new session happens between January and April, with advertisements peaking in February and March. A second, smaller round comes in August and September for mid-session vacancies. Send your email as soon as the advertisement appears; interviews and demos are scheduled in the order applications arrive.
  • Coaching institutes: before new batches, usually February to March for the April start and again in May and June after board results, when dropper batches form.
  • Online platforms and tutoring companies: all year, with a rise before exam seasons. They hire on hours and setup, so apply when you can commit the evening and weekend hours they need.
  • Follow-up: 7 to 10 days after the email, on the same thread, two or three lines. For schools, a polite phone call to the office after that is normal and often works better than a second email.
  • Demo class: when it is offered, confirm the date, the topic and the class by email the same day and ask for the section's current chapter. Then prepare for it as if it were the job, because it is.

Mistakes that get teaching applications filed away

  • No post, subject or classes in the first line. "Applying for a teaching position" cannot be sorted.
  • Eight scanned certificates in the first email.
  • A B.Ed fresher writing "no experience" when they have four months of teaching practice to describe.
  • No mention of the board you have taught, or applying to an ICSE school with a CBSE-only pitch and no acknowledgement of the difference.
  • A results line with no numbers. "Students performed well" tells the principal nothing.
  • Skipping the demo-class offer. It is the line that gets you the call.
  • Salary in the first email. Raise it after the demo.
  • A joining date in the middle of the session without a reason. Principals plan by the academic year.
  • "Respected Sir/Madam, I beg to state" and three paragraphs on the nobility of teaching.
  • Writing to the school's general enquiry address when the advertisement names the principal's or HR's email. Finding the right address is covered in the guide to applying to HR by email.

FAQ

Frequently asked questions

State the post, subject, classes and board in the first line, then one paragraph with your qualifications (degree, B.Ed, CTET or state TET) and one or two results, then your joining date, the attached résumé and an offer to take a demo class. Address it to the principal by name if the advertisement gives one.

The post and subject, your name and one hook, under 60 characters: 'TGT Mathematics (CBSE) — Siddharth Bose | 5 yrs, CTET' or 'PRT English — Ishita Jain, B.Ed 2026, CTET qualified'. If the school advertised a reference number, include it.

Only your résumé as a PDF, with a passport photo on it if the advertisement asks for one. Degree, B.Ed, CTET score card, experience letters and ID proof are checked at the interview. Say they are ready and bring originals on the day.

Use your teaching practice as experience: the school, the classes, the subjects and the weeks. Add your CTET or TET result, one thing you ran (a reading club, a science exhibit, a remedial group) and an offer of a demo class. Apply for PRT and TGT posts and say you can join at the session start.

Yes, in one line. Almost every school and coaching institute decides on the demo, so offering it tells the principal you know how hiring works. Name the topic you would take if they prefer, and have the lesson plan ready.

Mostly between January and April for the session that starts in April (CBSE and most private schools) or June (many state boards), with a second round in August and September for mid-session vacancies. Coaching institutes hire before new batches, usually February to March and again in May and June after board results.

Not in the first email unless the advertisement asks for it. Schools fix pay by post and scale; raise it at the interview after the demo, when you have something to negotiate with.

Or let Hireoo write and send it.

It finds fresh hiring posts, writes the application email for each one, and sends it from your own Gmail after you review it.
