Job Application Email Format (2026): Subject, Body, Attachments, 3 Samples
The job application email format is simple: a subject line with the role and your name, a greeting by name, three short paragraphs (the role and where you saw it, two or three proofs that you fit, your joining date and a request for a call), a sign-off with your phone number, and one PDF resume attached. This page walks through it line by line, gives three samples — fresher, 2–5 years, 5+ years — and a five-line version for your phone.

The job application email format: skeleton and 3 samples
Copy the skeleton, then fill it in. The three samples after it show what a filled-in version looks like at three career stages, and the five-line version further down is for replying from a phone.

Subject: Application for Graduate Engineer Trainee — Divya Reddy, B.E. ECE 2026
Hello Mr. Saxena,
I'm applying for the Graduate Engineer Trainee role at Trident Engineering, which I saw in your hiring post on LinkedIn on Monday. I completed my B.E. in Electronics and Communication from Deccan Institute of Engineering, Hyderabad, in June 2026 with a CGPA of 7.9.
The post asks for basic PLC knowledge and willingness to work on the shop floor. My final-year project was a conveyor control system on a Siemens S7-1200, built with two classmates and demonstrated at the college expo. I also completed four weeks of industrial training at a cement plant near Nalgonda, where I shadowed the instrumentation team on daily shifts.
I can join immediately and am open to any plant location in Telangana or Andhra Pradesh. My resume is attached as a PDF. I'd be glad to take a technical test or a short call whenever convenient.
Thank you,
Divya Reddy

Sample 2: 2–5 years of experience
Subject: Application for Senior Accountant — Nikhil Bansal | 4 yrs, Tally + GST filings
Hello Ms. Krishnan,
I'm applying for the Senior Accountant role at Greenleaf Foods (Ref GF-ACC-07). I'm an accountant with four years of experience, currently at Pioneer Logistics in Nagpur, where I keep the books for three group companies.
Two things in your post stand out: monthly GST filings for multiple entities and a month-end close within five working days. At Pioneer I file GSTR-1 and GSTR-3B for three GSTINs every month, and I brought our close down from twelve days to six by moving the fixed-asset and payroll schedules into a shared workbook with the HR team. I also handled the FY 2025-26 statutory audit queries with our auditors directly.
My notice period is 30 days. I'm based in Nagpur and can relocate to Pune. My resume is attached; I'd welcome a short call at a time that suits you.
Best regards,
Nikhil Bansal

Sample 3: 5+ years of experience
Subject: Application for Engineering Manager — Meera Krishnan | 8 yrs, led a 12-person backend team
Hello Suresh,
I'm writing about the Engineering Manager opening at Northstar Analytics that Ritika Agarwal mentioned to me last week. I'm currently a Lead Engineer at Zenith Software in Chennai, where I've spent the last three years running a 12-person backend team on a payments product.
From the job description, the two things you need most are someone who will own hiring and someone who has scaled a service past its first architecture. In the last two years I hired nine of the twelve engineers on my team, and we moved the settlement service from a single Postgres instance to a sharded setup with no customer-facing downtime, taking it from about 40,000 transactions a day to over 400,000.
My notice period is 60 days, negotiable to 45. I'm based in Chennai and open to Bengaluru. My resume is attached; I'd be glad to walk you through the migration work on a call.
Regards,
Meera Krishnan

What each line does
- Subject line. HR sorts and searches the inbox by it. The role tells them which opening; your name tells them who; the hook tells them whether to open it now. See the table below.
- Greeting. By name whenever the name is available. It is the first sign that this email was written for them and not for forty people.
- Paragraph 1: the role. Which opening, where you saw it, and one line on who you are. If the post has a job ID or reference number, put it here and in the subject line.
- Paragraph 2: the proof. Pick the two or three requirements the post repeats or puts first, and answer each with one concrete line: a number, a tool, a project, a client. This paragraph is the whole reason to write an email rather than just attach a resume.
- Paragraph 3: logistics and the ask. Notice period or joining date, city, relocation, and one small request, usually a short call. Do not ask about salary here.
- Sign-off. Your full name, a phone number with +91, your city and one link. Not three links, not a quote, not a motivational line.
Subject line formats
| Situation | Format | Example |
|---|---|---|
| Standard | Application for [Role] — [Name] | Application for HR Executive — Pooja Deshmukh |
| With a hook | Application for [Role] — [Name] | [hook] | Application for UI Designer — Shreya Das | 4 yrs, Figma |
| With a job ID | Application for [Role] ([ID]) — [Name] | Application for Store Manager (SM-LDH-03) — Harpreet Kaur |
| Referral | Referred by [Name] — Application for [Role], [Name] | Referred by Tanvi Shah — Application for Content Lead, Amit Saxena |
| Reply to a recruiter | Re: [their subject] — [Name], [hook] | Re: Backend Engineer opening — Sanjay Yadav, 3 yrs Go |
Keep it under about 70 characters; Gmail on a phone cuts off the rest. More variations, including Hinglish ones, are on the job application email subject lines page.
Greeting rules: when you know the name and when you do not
You know the name. Use it. "Hello Priya," or "Hello Ms. Sharma," are both fine; the first-name version is normal in startups, IT services and most product companies, while "Mr." or "Ms." plus the surname is safer in banks, manufacturing, schools, hospitals and anything government-linked. If you are unsure of the person's gender from the name, write the full name: "Hello Kiran Rao,".
You do not know the name. "Dear Hiring Team," or "Hello," are enough. If the post came from a company address such as careers@ or hr@, "Dear Hiring Team at Acme," is a touch warmer. Spend two minutes looking first, though: the careers page, the hiring post and the company's page on LinkedIn often name the recruiter.
What to drop. "Respected Sir/Madam" (school-letter English), "To whomsoever it may concern" (a certificate, not an email), "Dear HR" (a department, not a person) and "Hi there" (too casual for a first email in India).
The 5-line version for sending from your phone
Use this when you are replying to a recruiter's message, applying to a walk-in announcement, or writing from a phone on the day the post goes up. It covers everything in the skeleton, just without paragraph breaks.

The order is the same as the long version: role and source, proof, logistics, ask. Attach the resume before you type, so you do not forget it.
Attachments, file names and the "sample PDF" question
- One PDF, named for the reader.
Divya-Reddy-Resume-GET.pdforNikhil-Bansal-Resume-Senior-Accountant.pdf. NotResume.pdf, notfinal_final.pdf, not a file named after the template you downloaded. - Under 1 MB. No scanned image of a resume; export it from the document, so HR's software can read the text. A free ATS resume checker will tell you if it parses cleanly.
- Word only if asked. Some agencies and government-linked firms ask for
.docxso they can edit it. Otherwise PDF. - Cover letter as a separate file only if asked. The email body is the cover letter. If a post asks for a PDF cover letter, paste the body into Google Docs or Word, add the date and your name at the top, and export it.
- Looking for a "job application email sample PDF"? You do not need one. Copy a sample from this page into Gmail, edit it, and send. A PDF of a sample is just a sample you cannot copy from easily on a phone.
When to send and when to follow up
Send on a weekday morning, ideally between 9 and 11 am, and within a day or two of the post going up. If the post has a closing date, send well before it; HR often shortlists as applications come in. If you hear nothing in 5 to 7 working days, reply once on the same thread with three lines. The follow-up email after applying page has the wording. One follow-up is normal; a second, a week later, is the limit.
Mistakes that break the format
- The resume pasted into the body and no attachment. HR cannot forward it to the hiring manager cleanly.
- Five paragraphs. Paragraph two is where people pad. Two proofs beat five claims.
- A subject line with no role. "Application", "Resume", "Job opportunity" all go to the bottom of the pile.
- The wrong company or role name, left over from the last email you sent. Read it once before pressing send.
- Asking about salary, leave or work from home in the first email. Save it for the call; the answer depends on the role anyway.
- Three links and a quote in the sign-off. One link, your phone, your city.
- Sending from an address with your birth year and a nickname. Make a plain firstname.lastname address.
- Writing "immediate joiner" when you have a 60-day notice period. It comes up in the first call and ends the conversation.
