Job Application Email for Freshers: Format, Subject Line and 4 Samples

A fresher's job application email needs a subject line that names the role and you, three short paragraphs HR can read on a phone, and one PDF resume named with your name. Below are four samples to copy — a B.Tech fresher answering a hiring post, a B.Com fresher for an accounts role, a customer support (BPO) application and an intern asking for a full-time role — plus what to change, when to send and the mistakes that get fresher emails ignored.

4 job application email samples for freshers (copy, then edit)

Each sample is a complete email: subject line, greeting, body and sign-off. Pick the one closest to your situation, paste it into Gmail and change the parts listed in the next section. Keep the length as it is. The whole email should fit on one phone screen, because that is where HR will read it.

Sample 1: B.Tech fresher answering a hiring post

Subject: Application for Software Developer (Fresher) — Rahul Verma, B.Tech CSE 2026

Hello Ms. Mehta,

I saw your post for a fresher Software Developer at Acme Technologies and I'm applying for it. I graduated in June 2026 with a B.Tech in Computer Science from Bharat Institute of Technology, Nagpur, with a CGPA of 8.1.

Your post asks for Java and SQL. For my final-year project I built an inventory app for a pharmacy near my college in Java and MySQL; it replaced their paper register and they still use it. I also did a two-month internship at a Pune startup, where I wrote REST APIs in Spring Boot and fixed bugs from the support queue.

I can join immediately and can relocate to Pune. My resume is attached as a PDF. I'd be glad to do a short call or a coding test whenever it suits you.

Thank you,
Rahul Verma

Hinglish mein samjhein: Pehli line mein role aur kahan dekha. Doosre paragraph mein post ki do requirements uthayein aur har ek ka proof dein — project, internship ya certification. Teesre mein joining date aur city. Bas itna. Resume PDF mein attach karein aur sign-off mein phone number zaroor likhein, kyunki HR freshers ko call karta hai, mail nahi.

Sample 2: B.Com fresher for an accounts role

Subject: Application for Accounts Executive — Priya Sharma, B.Com 2026, Tally Prime

Dear Hiring Team,

I'm writing to apply for the Accounts Executive opening at Sunrise Traders that was posted on Naukri this week. I completed my B.Com from Malwa College of Commerce, Indore, in 2026 with 72%.

During my final year I did a three-month internship at a CA firm in Indore, where I handled daily entries in Tally Prime, bank reconciliation and the GST return working for eight small clients. I'm comfortable in Excel (VLOOKUP, pivot tables) and hold the Tally Essential certification.

I can join within a week and am based in Indore. My resume is attached. I'd welcome a chance to discuss the role.

Regards,
Priya Sharma

No internship? Replace the second paragraph with your Tally or Excel coursework and one real task you did for a family business, a shop or a college society: collecting fees, maintaining a cash book, helping a CA file a return.

Sample 3: customer support or BPO (voice process)

Subject: Application for Customer Support Executive (Voice) — Arjun Nair | Immediate joiner

Hello Mr. Khan,

I'm applying for the Customer Support Executive role at Blue Orbit Services that you posted on LinkedIn yesterday. I completed my BA in 2026 from Cochin Arts College and speak fluent English, Malayalam and Hindi.

For the last six months I've handled customer calls and WhatsApp queries part-time for a local broadband provider — around 50 calls on a busy day — and kept a simple sheet of complaints, resolutions and callbacks. I'm fine with rotational and night shifts and type at 40 words per minute.

I can join immediately and am based in Kochi. My resume is attached. I'm happy to take a voice and typing test at your convenience.

Thanks,
Arjun Nair

BPO posts care about three things: languages, shifts and whether you can hold a conversation. Say all three in plain words. If you have never taken customer calls, mention front-desk, telecalling, sales or college-fest coordination work; it is the same skill. There is a longer version of this on the customer support and BPO job application email page.

Sample 4: intern asking to be considered for a full-time role

Subject: Marketing Associate opening — Sneha Iyer (Marketing Intern, Jun–Aug 2026)

Hello Ms. Rao,

I finished my three-month marketing internship with Acme Technologies in August, working with Karan's team on the product launch emails and the Instagram calendar. I'm writing to ask whether I could be considered for the Marketing Associate opening I saw on the careers page this week.

During the internship I wrote the four-email launch series that went to the full customer list and ran the weekly reporting sheet, so I already know the product, the tools and the team's review process. Karan has offered to be a reference, and I'd be glad to share the launch numbers on a call.

I graduated in May 2026, am based in Bengaluru and can start from 1 November. My updated resume is attached.

Thank you,
Sneha Iyer

This one goes to the HR contact, with your internship manager's knowledge. Name the person you worked with; HR will check with them before doing anything else.

What to change in each sample (and what to keep)

Change every time

  • The role, exactly as the post writes it. "Software Developer (Fresher)" if that is what the post says, not "SDE" or "developer job".
  • Where you saw it. A hiring post, the careers page, a college placement mail, a friend. HR uses this to file your email.
  • The two requirements you answer. Read the post, pick the two things it asks for most clearly, and give one line of proof for each.
  • Your numbers. CGPA, percentage, months of internship, number of clients, calls on a busy day. Only real ones; HR may ask about them in the interview.
  • Joining and city. Write "immediately" only if you can actually start within a week.

Keep as it is

  • The order: role, then proof, then logistics.
  • The length: 100 to 180 words.
  • The sign-off with your phone number and city. HR calls freshers more often than it emails them.

If you have no projects or internships: use a course assignment, a certification (NPTEL, Coursera, Tally, a typing certificate), a college event you organised, a part-time or family-business job, or something you taught yourself. The pattern is the same: what you did, with what, and what came of it. If you are still working out where to look for openings in the first place, start with fresher ke liye job kaise milegi.

Subject line formats for freshers

HR sorts the inbox by subject line. Yours should say what the email is and who you are before it is opened.

Situation Subject line
Answering a hiring post Application for Graduate Engineer Trainee — Divya Reddy, B.E. ECE 2026
The post has a job ID Application for Junior Analyst (Ref 2026-114) — Rohan Gupta
You can start now Application for Field Sales Executive — Vikram Singh, immediate joiner
Someone referred you Referred by Neha Joshi — Application for Content Writer, Aditi Kulkarni
Campus or walk-in drive Walk-in on 28 Oct — Resume for Process Associate, Mohammed Irfan

Do not send "Job", "Resume", "Application", "Fresher looking for job" or a blank subject. For more variations, see job application email subject lines.

Greeting: when you know the name and when you do not

  • You know the name (it is in the post, on the careers page or in the referral): "Hello Ms. Mehta," or "Hello Priya,". First names are normal in startups and IT companies; "Mr." or "Ms." with the surname is safer for banks, manufacturing, schools and government-linked firms.
  • You do not know the name: "Dear Hiring Team," or "Hello," are both fine. "Dear Sir/Madam" is acceptable for PSU-style companies.
  • Avoid "Respected Sir/Madam", "To whomsoever it may concern" and "Dear HR". They read as a mass mail, and the first one marks you as a fresher who has copied a format from school.

Attachment and file-name rules

  • One PDF. Name it Rahul-Verma-Resume-Software-Developer.pdf, not resume_final2.pdf or CV.pdf. HR downloads dozens of files a day; yours should be findable by name.
  • Keep it under 1 MB and one page for a fresher. If the post asks for a Word file, send .docx; otherwise PDF.
  • Mention it in the body ("My resume is attached") and check it is actually attached before you press send. Gmail warns you if you wrote "attached" and forgot the file; read the warning.
  • Do not attach marksheets, certificates, a photo or a zip unless the post asks for them. Links to GitHub, a portfolio or a certificate are fine in the sign-off.
  • Run the PDF through a free ATS resume checker once, so it reads cleanly when HR's software parses it.

When to send it

  • Weekday mornings, 9 to 11 am. Monday at 9 am and Friday after 4 pm are the two worst slots.
  • Within 24 to 48 hours of the post. Fresher posts get hundreds of replies; the first two days matter.
  • Walk-in or campus drive: send the same day as the announcement, with the date in the subject line.
  • If nothing comes back in 5 to 7 working days, reply once on the same thread with two lines. The follow-up email after applying page has the exact wording. One follow-up, then move on to the next post.

Mistakes that get fresher emails ignored

  1. A subject line that says "Job". HR cannot tell what you want, so it goes to the bottom.
  2. "Respected Sir/Madam, I am a hardworking and dedicated fresher…" Every fresher writes this. Your first line should be the role.
  3. The whole resume pasted into the body. The body is a short cover letter; the resume is the attachment.
  4. Forty HR addresses in CC or BCC. Many companies filter this out automatically; the rest delete it by hand.
  5. The wrong company name. The clearest sign of a copy-paste. Read the email once, slowly, before sending.
  6. Asking about salary, leave or work from home in the first email. Save it for the call.
  7. No phone number. HR calls freshers.
  8. An email address like coolrahul2003@gmail.com. Create firstname.lastname@gmail.com; it takes two minutes and you will use it for years.
  9. Chat spelling. "plz", "u", "kindly do the needful". Write the way you would speak to a teacher you respect.

If you want a version of the email written for one specific job description, the cover letter generator drafts it from your resume and the post; paste the result into the body of the sample above and send it yourself.

FAQ

Frequently asked questions

Three short paragraphs: the role and where you saw it; two or three things the post asks for, each with your proof (a project, internship, certification or course); and your joining date, city and a request for a short call. Attach one PDF resume and sign off with your phone number.

“Application for [Role] — [Your Name], [Degree] [Year]” works almost everywhere. Add the job ID if the post has one, or “immediate joiner” if it is true. Never send a subject that says only “Job”, “Resume” or “Application”.

Yes, in one phrase, if it is 7.0 CGPA or 65% or above, or if the post sets a cut-off. If it is lower, leave it to the resume and lead with a project or internship instead.

Between 100 and 180 words, not counting the sign-off. HR reads most emails on a phone, and three short paragraphs fit one screen. Anything longer belongs in the resume.

Keep the structure, but change the role, the company name, the two requirements you answer and the greeting every time. One email to many HRs in CC or BCC is the fastest way to get deleted.

Use what you do have: a course assignment, a certification, a college event you organised, a part-time job, or a tool you taught yourself. Say what you did and what came of it, one line each.

Only if the post asks for one. Otherwise the email body is your cover letter, and the resume goes as a single PDF named with your name and the role.
