Email to a Recruiter With Your Resume: 5 Templates and Subject Lines
To email a recruiter with your resume, write a subject line that names the role (or the kind of role) and you, a three-line body that says why you are writing, what you do and when you can join, and attach one PDF named with your name. The wording changes with the situation, so this page gives five templates: sending your resume unprompted, replying to a recruiter who messaged you, after applying on a portal, after a referral, and reconnecting with a recruiter from months ago.

5 templates for emailing a recruiter with your resume
Recruiters read email in batches, on a phone, between calls. Every template below is short enough to read without scrolling, names the role in the subject line, and puts the resume where they expect it: attached as a PDF, named with your name.
Template 1: sending your resume unprompted
For a recruiter who regularly posts roles in your field, in-house or at an agency, when none of the current ones is quite right.
Subject: Resume for Android developer roles — Sanjay Yadav | 3 yrs Kotlin, Bengaluru
Hello Ms. Menon,
I've seen you post Android openings for product companies in Bengaluru over the last few months, so I'm sending my resume in case one of them fits.
I'm an Android developer with three years at Everest Learning, where I own the student app (Kotlin, Jetpack Compose, about 300,000 monthly users). This year I cut the app's cold-start time by 40% and shipped the offline mode for low-connectivity towns.
I'm looking for a product-company role in Bengaluru; notice period 30 days, and I can share CTC details on a call. My resume is attached as a PDF. Happy to talk whenever suits you.
Regards,
Sanjay Yadav

Hinglish mein samjhein: Recruiter ko email bhejte waqt subject line mein role (ya role ka type), apna naam, aur ek hook — years, main skill, city. Body mein teen hi baatein: kyun likh rahe hain, aap kya karte hain (do proof, number ke saath), aur notice period aur city. CTC pehle email mein mat likhein; "call par share kar sakta hoon" kaafi hai. Resume PDF attach, naam ke saath file name.
Template 2: replying to a recruiter who messaged you
Subject: Re: Opportunity — Senior Product Designer at Nova Health
Hello Arjun,
Thanks for reaching out about the Senior Product Designer role at Nova Health. I'm interested.
A quick summary so you can check fit: five years in product design, the last three at Orbit Media on a consumer video app, where I led the redesign of the subscription flow (conversion up 18% over the following quarter). I'm comfortable with Figma, design systems and running usability tests myself.
My notice period is 45 days; I'm based in Mumbai and open to hybrid in Bengaluru. My resume is attached as a PDF, and my portfolio is at ritikaagarwal.design. I'm free for a call on Tuesday or Wednesday after 4 pm. Let me know what works.
Best,
Ritika Agarwal

Reply the same day, on their thread, even if your answer is "not now". Recruiters remember who replied.
Template 3: after applying on a portal
Subject: Applied for Business Analyst (Job ID BA-2210) on Naukri — Rohan Gupta, 2 yrs
Hello Ms. Thomas,
I applied for the Business Analyst role (Job ID BA-2210) at Summit Consulting through Naukri on Monday. Since your name was on the post, I wanted to send my resume to you directly as well.
I'm a business analyst with two years at Silverline Finance, where I write requirements for the loan-origination system and run UAT with the operations team; the last release I handled cut application processing time from three days to one. I'm comfortable with SQL, Jira and Confluence.
I'm based in Pune, notice period 30 days. Resume attached as a PDF. I'd be glad to talk whenever convenient.
Regards,
Rohan Gupta

Quote the job ID exactly as the post shows it; the recruiter may be running ten openings at once.
Template 4: after a referral
Subject: Referred by Neha Joshi — resume for Content Marketing Manager, Tanvi Shah
Hello Mr. D'Souza,
Neha Joshi from your product team suggested I send you my resume for the Content Marketing Manager opening; she has already submitted the referral on your internal portal.
I've run content at Everest Learning for four years: a blog that grew from 20,000 to 180,000 monthly visitors, a weekly newsletter to 60,000 parents, and a six-person team of writers and editors. The job description mentions building a content programme for a new B2B line, which is what I did for Everest's school-partnerships product in 2025.
I'm based in Bengaluru, notice period 60 days (negotiable). Resume attached as a PDF, with writing samples linked inside it. Happy to talk any day this week.
Thank you,
Tanvi Shah

Ask the referrer first, and tell them when you have sent it. How to ask is covered in the referral request email page.
Template 5: reconnecting with a recruiter from months ago
Subject: Re: Backend Engineer at Zenith — checking in, Amit Saxena
Hello Priya,
We spoke in March about a Backend Engineer role at Zenith Software; the timing didn't work then as I had just started a project. I'm now actively looking and wanted to check whether you have anything similar open.
Since we last spoke I've led the migration of our order service to Kubernetes at Pioneer Logistics and picked up Go alongside Java. Five years in total, notice period 30 days, Bengaluru or remote.
My updated resume is attached as a PDF. If the Zenith role or anything like it is open, I'd be glad to talk; if not, no worries, I'll check back in a couple of months.
Regards,
Amit Saxena

Reply on the old thread rather than starting a new one. The recruiter sees the history in one scroll and does not have to remember you from scratch.
Subject lines for a recruiter email
| Situation | Subject line |
|---|---|
| Unprompted | Resume for QA automation roles — Pooja Deshmukh | 4 yrs Playwright, Pune |
| Reply to their message | Re: [their subject] — Ritika Agarwal, 5 yrs product design |
| After applying on a portal | Applied for Senior Accountant (Ref GF-ACC-07) — Nikhil Bansal, 4 yrs |
| After a referral | Referred by Neha Joshi — resume for HR Executive, Vikram Singh |
| Reconnecting | Re: [old subject] — checking in, Amit Saxena |
| Fresher | Resume for graduate trainee roles — Divya Reddy, B.E. ECE 2026 |
Keep the role first and your name second; recruiters search their inbox by role. When replying, keep their subject line and add your name after a dash. More patterns are on the job application email subject lines page.
In-house recruiter or agency recruiter: what changes
In-house recruiters work for the company and are judged on filling specific roles. Write about the role and the team. They will check your resume against the job description, so match its words where they are true.
Agency recruiters (consultancies, staffing firms) place you with their clients and are paid by the client. They care about three things early: current and expected CTC, notice period and location. Give notice period and location in the first email; keep CTC for the call unless they asked. Be honest about where else you are interviewing; an agency recruiter who finds out later will drop you.
With both, reply quickly, keep one thread per role, and tell them if you take another offer. Recruiters move between companies, and a clean exit now is a referral later.
What to change in each template
- The role, exactly as they wrote it, with the job ID where there is one.
- Why you are writing. Their posts, their message, your portal application, the referrer's name, the month you last spoke.
- The two proofs. One line each, with a number. Pick the two closest to the role you are writing about, not your two proudest.
- Logistics. Notice period, city, relocation or hybrid, and two time slots if you are offering a call.
- Links. Portfolio for design and content roles, GitHub for engineering, nothing for most others.
Keep the length. Every template is under 150 words, and that is why they get read.
Attachment and file-name rules
- One PDF, named
Sanjay-Yadav-Resume-Android.pdf. The recruiter will drop it into a folder with fifty others; your name in the file name is the difference between found and lost. - Not
Resume_final_v3.pdf,CV (1).pdf, orNaukri_Resume.pdf. - Two pages at most for experienced candidates, one for freshers; under 1 MB.
- Word only if asked. Agencies sometimes ask for
.docxso they can remove your contact details before sending it to the client. Send both if they ask. - Re-attach on every new thread and on a reconnecting email, even if you sent it months ago. Nobody digs through old threads for a file.
- Check it parses. Run it through a free ATS resume checker once; recruiters' systems read the text, not the design.
Timing: when to send and how long to wait
- Replying to a recruiter's message: the same day, within a few hours if you can. The role may have twenty candidates by tomorrow.
- Unprompted or after applying on a portal: a weekday morning, 9 to 11 am. Wait 5 to 7 working days for a reply, then follow up once on the same thread.
- After a referral: the same day the referrer submits it, so the two arrive together.
- Reconnecting: any weekday morning; give it 7 to 10 working days before one follow-up, since nothing is open yet.
The follow-up email after applying page has the wording for each. Send follow-ups from your own inbox, on the same thread, and stop after the second.
Mistakes recruiters mention most
- No role in the subject line. "Resume" or "Hi" gets filed under nothing.
- The resume pasted into the body, or sent as a photo of a printout.
- A different notice period in the email and the resume.
- "Immediate joiner" when you are serving 60 days.
- Asking the agency recruiter to tell you the client's name before you have shared anything. Share your summary first; they will name the client once there is a fit.
- Replying to a recruiter's message a week later with "Is this still open?"
- Five follow-ups. Two is the limit.
- CCing three recruiters at the same agency.
If you want a tighter three-line summary of your fit for a specific posting, the cover letter generator drafts one from your resume and the job description; cut it to three lines before you use it here.
