Email to HR for a Job Vacancy: Asking About Openings (5 Templates)
When there is no posting, email HR a short, specific note: who you are in one line, the kind of role you want, two proofs you would be useful, and one clear ask — to be considered for current or upcoming openings in a named team. This page shows how to find the right HR address without guessing, what to ask for, and five complete templates: a fresher, an experienced candidate, after a referral, after meeting someone at an event, and for a specific department.

5 templates: emailing HR when there is no posting
Each template is a complete email. They are deliberately short, because an unsolicited email competes with a full inbox of emails HR actually asked for. Pick the one that matches your situation and change the parts listed under "What to change" further down.
Template 1: fresher asking about openings
Subject: Fresher (B.Sc. IT 2026) seeking an IT support opening — Rohan Gupta
Hello Ms. Desai,
I'm Rohan Gupta, a B.Sc. IT graduate (2026) from Jaipur. I'm writing to ask whether Meridian Infotech has any current or upcoming openings for an IT support or desktop support trainee.
I found your email on the careers page, which says the Jaipur office hires freshers for support roles. I hold the CompTIA A+ certification, and during college I looked after the computer lab for two years: Windows installs, network printer setup and basic troubleshooting for about 60 machines.
If a role opens in the next few months, I'd be grateful to be considered. My resume is attached as a PDF, and I can join immediately.
Thank you for your time,
Rohan Gupta

Hinglish mein samjhein: Jab koi posting nahi hai, tab email aur bhi chhota hona chahiye. Pehli line: aap kaun hain aur kis tarah ka role chahiye. Doosri: HR ka email kahan mila aur aapke do proof. Teesri: ek hi request — "agar opening aaye to consider karein" — aur resume attach. Salary, "koi bhi job", ya "please help" mat likhein. Devanagari mein log yahi search karte hain: एचआर को मेल कैसे करें job ke liye. Poora Hinglish guide yahan hai: HR ko mail kaise kare job ke liye.
Template 2: experienced candidate asking about openings
Subject: Senior QA Engineer (6 yrs, automation) — enquiry about openings at Zenith Software
Hello Mr. Pillai,
I'm a Senior QA Engineer with six years of experience, currently at Orbit Media in Pune, where I lead test automation for a streaming app used by about two million people. I'm writing to ask whether Zenith Software has, or expects to have, openings in QA or test automation in Pune or Bengaluru.
I follow Zenith's engineering blog, and the August post on moving your suite to Playwright is close to what I did at Orbit last year: I moved 1,400 Selenium tests to Playwright and cut the nightly run from four hours to fifty minutes. I've also set up contract tests between our mobile and backend teams.
If there's a relevant opening now or in the next quarter, I'd be glad to talk. My resume is attached. My notice period is 60 days.
Regards,
Amit Saxena

Template 3: after a referral
Subject: Referred by Tanvi Shah — enquiry about data analyst openings, Pooja Deshmukh
Hello Ms. Fernandes,
Tanvi Shah from your marketing analytics team suggested I write to you. She mentioned that Northstar Analytics may be adding analysts to the Mumbai team early next year.
I'm a data analyst with three years at Silverline Finance, where I build the monthly collections dashboards in Power BI and write the SQL behind them. Last year I automated the branch-level reporting, which freed up about two days a month for the operations team.
If an analyst role opens up, I'd be grateful to be considered; Tanvi is happy to be a reference. My resume is attached as a PDF, and my notice period is 30 days.
Thank you,
Pooja Deshmukh

Ask the person referring you before you use their name, and tell them when you have sent the email. If their company has an internal referral form, they should fill it in too; the referral request email page covers how to ask for that.
Template 4: after meeting someone at an event
Subject: Following up from the Nashik job fair on Saturday — Deepak Mishra, mechanical fresher
Hello Mr. Rao,
We spoke at the Trident Engineering stall at the Nashik job fair on Saturday, 18 October; I was the one who asked about the maintenance trainee programme at the Sinnar plant. Thank you for taking the time.
As you suggested, I'm sending my resume for the trainee programme. I'm a mechanical engineering graduate (2026) with a six-week internship at a Nashik auto-component plant, where I worked with the maintenance team on preventive checks for CNC machines.
Could you let me know when the next trainee intake opens, and whether there's anything I should prepare for it? My resume is attached as a PDF.
Regards,
Deepak Mishra

Send this within two days of the event, while they still remember the conversation. Mention the stall, the date and the exact thing you talked about; HR meets a few hundred people at a fair.
Template 5: for a specific department or team
Subject: Enquiry: UX designer openings in the mobile team — Shreya Das (4 yrs)
Hello Ms. Kapoor,
I'm a UX designer with four years of experience, currently at Everest Learning in Kolkata, where I designed the onboarding flow for a school app used in about 900 schools. I'm writing specifically about the mobile team at Nova Health. I've used the Nova app as a patient for a year and have a few thoughts on the appointment flow that I'd be happy to share.
If the mobile team is hiring designers now or in the next few months, I'd like to be considered. My portfolio is at shreyadas.design and my resume is attached. Notice period: 45 days; I can relocate to Bengaluru.
Thank you,
Shreya Das

Naming a team is the single biggest improvement you can make to a vacancy email. "Any opening" gives HR nothing to forward; "the mobile team" gives them a person to forward it to.
First, find the right HR address (without guessing)
An email to the wrong address is an email to nobody. Look in this order, and stop at the first address that is published by the company itself:
- The careers page. Most companies with more than a few dozen staff have one, often with a careers@, jobs@ or hr@ address, or a named recruiter.
- Recent hiring posts from the same company. Even if the role is not yours, the address in the post is the one HR reads. Use it and say where you found it.
- The company's page on LinkedIn. Recruiters post openings under their own names; a short, polite message there asking for the right email address is normal. Do the same on Naukri company pages if a recruiter is listed.
- People you know. A friend, a senior from college, an ex-colleague. Ask for the HR contact, not for a job.
- The contact page, as a last resort. Write "Attn: HR" in the subject line so reception forwards it.
Do not guess address patterns (firstname.lastname@ guesses bounce or land with the wrong person), buy email lists, message personal WhatsApp numbers found in a group, or write to the CEO on a Sunday night. If nothing is published, apply through the careers form and move on. The how to apply for a job through email to HR guide has more on finding addresses ethically.
What to ask for (one ask only)
The ask is the sentence HR acts on. Make it one of these:
- "to be considered for current or upcoming openings in [team]"
- "whether [team] expects to hire [role] in the next quarter"
- "when the next [trainee / intake / batch] opens"
- "who the right person is to send my resume to for [role]"
Do not ask for "any job", "a chance", "guidance", a salary range, or a call "to discuss opportunities". Each of those makes HR do the work of figuring out what you want.
Subject lines for a vacancy enquiry
| Situation | Subject line |
|---|---|
| Fresher | Fresher (B.Com 2026, Tally) seeking an accounts opening — Priya Sharma |
| Experienced | Android Developer (3 yrs, Kotlin) — enquiry about openings at Everest Learning |
| Referral | Referred by Neha Joshi — enquiry about HR Executive openings, Vikram Singh |
| After an event | Following up from the Pune campus talk on 20 Oct — Aditi Kulkarni, B.Sc. Stats |
| Specific team | Enquiry: content writer openings in the blog team — Fatima Khan (2 yrs) |
Avoid "Job enquiry", "Looking for job", "Any vacancy?" and "Urgent requirement". They look like spam, and some mail filters agree.
What to change
- The role or team. Be specific enough to forward: "IT support trainee", "the mobile team", "QA automation in Pune".
- Where you found the address. The careers page, a hiring post, a person. It shows the email was sent to them, not to a list.
- The two proofs. One line each, with a number or a name. For freshers: a certification, a lab, a project, a part-time job. For experienced people: the two things you did last year that the team would care about.
- The time frame. "Now or in the next quarter" tells HR to keep your resume even if nothing is open today.
- Logistics. Notice period or "can join immediately", city, and whether you can relocate.
Keep the length. All five templates are under 150 words, and that is the point.
Attachment and file-name rules
- Attach the resume as one PDF, even though nobody asked. HR cannot forward a vacancy enquiry without one, and "resume on request" means a second email they will not send.
- Name it
Rohan-Gupta-Resume-IT-Support.pdf: your name and the kind of role, so it still makes sense in a folder three months later. - Keep it under 1 MB and one page for freshers, two at most for experienced candidates.
- No certificates, marksheets or photos. A portfolio or GitHub link goes in the sign-off.
- Mention the attachment in the body, and check it is there before sending.
When to send and when to follow up
Send on a weekday morning, Tuesday to Thursday if you can choose. Avoid the last week of March (closing of the financial year) and the Diwali week; HR is either busy or away.
Because there is no opening with a deadline, give it longer than a normal application: wait 7 to 10 working days, then reply once on the same thread with two or three lines. If nothing comes back, stop. Write again in two or three months, only if you have something new to say: a certification, a project, a change of city. The follow-up email after applying page has the exact wording for both follow-ups.
Meanwhile keep applying to posted roles. A vacancy email is a side bet, not the main strategy.
Mistakes that get vacancy emails deleted
- "Any job in your company." HR cannot forward "any job". Name a team or a role.
- A life story. Your schooling, your family, your hobbies. One line on who you are, two lines of proof, one ask.
- Sending the same email to twenty companies in BCC. Filters catch it, and the ones that get through read as spam.
- Asking for salary, work-from-home or "growth opportunities" before there is even a role.
- "Please help me, I urgently need a job." HR is sympathetic, but it is not a reason to hire. Give them a reason.
- No resume attached. The enquiry cannot go anywhere without it.
- Writing to five people at the same company in separate emails on the same day. They will compare notes.
- Following up every three days. Once after 7 to 10 working days, then stop.
